COTE (Committee on the Environment)
Green Week Meeting Minutes, December 3 2003, James Joyce Pub
Attendees: Laura Butler, Julia Craighill, Julie Gabrielli, Ken Hercenberg, Marc Hurwitz, Mark Keen (writer), Tom Liebel
The following items were discussed:
1. Laura confirmed that Mr. Scarpa has agreed to be the speaker for the Wednesday Program. 2. Julia confirmed that the budget for Tuesday's Film screening would be roughly $1,200.00 3. Mark confirmed that MASLA and MDAPA both want to be included as hosts. 4. Liz confirmed they have been in contact with BCSI Lawyers regarding structure of the non-profit organization and checking account. The intent is to create a separate checking account under the BCSI 5013C umbrella. Liz and Mark or Julia will be signers for the account.
5. The next milestone is to bring on sponsor(s) to underwrite a large portion or all of the estimated budget, in order to begin signing contracts, and marketing. Julia will work on the overall sponsorship structure. It was unclear how far Eric has gotten on this issue, however, it was noted that he will be very busy with the Thursday program. Liz will collaborate with this effort. Mark and Ken will likewise help with contacting potential sponsors, once the structure is set. It was agreed that initial contact with potential "super sponsors" should begin immediately. The goal is to have major sponsorship on board by the beginning of January. It is hoped that the marketing can be integrated with the sponsors marketing program that is in place. This is to be a "Regionally" marketed event. Thought needs to be given regarding price of attendance. Wednesday and Thursday's programs are institutionalized programs and are separate profit generators from the rest of the week. Wednesday's Lecture will be financed by the Lecture Committee, and any money realized will be kept by the committee. This will be the same for BCSI's Thursday program. This leaves Monday, Tuesday and Friday to be covered financially by sponsorship and ticket sales. Any profit realized from these three days will be contributed to Port Discovery. Thought needs to be given as to how event monies are collected and distributed. Thought needs to be given to event prices.
6. Laura agreed to head up the Media contact.
7. Mark will contact other associations to see if they would be interested in being a host for the week, and providing manpower for planning and sponsor contact. Everyone will forward potential contacts. 8. 9. It was agreed that the Gala will be on Friday night. 10. The next Green Week Planning meeting will be 5:30 pm, Tuesday December 9, 2003, at RTKL.
AIABaltimore COTE Meeting Minutes
The AIABaltimore COTE had their final meeting of the year immediately following the Green Week Planning meeting. The attendees were the same as noted above.
1. Julie and Tom discusses possible events for the Summer events: possibly a screening of Blue Vinyl outside on a building (similar to the Little Italy Friday films) and possibly building a straw bale structure as part of a community event.
2. Scott Moir was not present to discuss the progress regarding the Morgan State Univ. Charrette. Hopefully some planning meetings are being established in the coming weeks, to ensure that things are on track. The following items are noted here: - a general structure and budget was distributed with the November Meeting Minutes - Five things that need to be coordinated, planned, or confirmed: Sponsors Vendors / Manufactures who will participate Professionals who will participate Students who will participate Media coverage (Marc Hurwitz has done a great job of getting the word out regarding the charrette, and there have been some interested parties who have responded.)
3. The next Meeting will be Third Thursday of January, at 6:00 pm at RTKL.
